Solo Season – Terms and Conditions
These Terms and Conditions set out the agreement between Solo Season (“we”, “our”, “the Company”) and the participant (“you”, “your”, “the client”) for guided hiking services. By booking and participating in a Solo Season hike, you agree to these Terms and Conditions.
1. Booking and Deposit
Bookings are exclusively made via our online booking system.
A booking is confirmed once you have completed the booking, initial medical assessment forms, and paid the non-refundable $500 deposit.
2. Prices
The prices quoted at point of booking represent our most up-to-date prices, are per person and subject to minimum numbers.
Prices may change throughout the season depending on operational costs at the discretion of Solo Season Management.
The price at time of booking confirmation (including payment of deposit) will be fixed.
Any subsequent discounts or offers will not be applied retrospectively once a deposit is paid
3. Minimum numbers
A Solo Season trip is subject to minimum numbers
If the minimum numbers (4 persons for all trips) are not met 30 days prior to trip commencement guests will be offered a ‘small group surcharge’ to ensure operational costs are covered. If this surcharge is not taken up by all parties then the trip will be subject to the Company Cancellation Policy.
4. Payment
Full payment will be due 30 days prior to the trip start date
If booking is being made within 30 days of trip start date then full cost is due at the time of booking
All prices are in AUD, including GST
5. Cancellation and Refund Policy
Client cancellations:
More than 30 days before the hike: forfeit non-refundable deposit.
Less than or equal to 30 days before the hike: forfeit of full cost
Company cancellations:
If Solo Season cancels a hike due to weather, safety, unforeseen circumstances or failure to meet minimum numbers, you will be offered a reschedule/credit/.
6. Medical Fitness and Safety
You must disclose any relevant medical conditions, allergies, or medications in the pre-hike medical questionnaire.
Your answers will be shared and reviewed by our in-house GP who are bound by their professional duty of care and confidentiality.
Our GP has the right to ask for further medical assessments or information at the cost of the guest, and to refuse participation if your condition poses a risk to yourself or others.
If there are any changes to your health status outlined in our pre-hike medical it is your obligation to make Solo Season aware of these changes in a timely manner.
If a change in medical status results in your inability to participate you will still be subject to the cancellation and refund policy. ..
7. Travel Responsibility
Participants are responsible for organising their own travel to and from Hobart to participate in all of our tours. We strongly advise that you book a flexible airfare.
Solo Season is not responsible for any costs or losses associated with delayed or missed flights.
We advise all guests not to book a flight departing prior to 7pm from Hobart on the last day of the tour.
8. Inclusions
Our trips come with inclusions as outlined in whichever tour is being booked (eg. sleeping bag, sleeping mat, hiking pack, tent, cooking equipment). There will be no adjustment to the price of our tours if guests choose to use their own approved gear.
9. Weather and Itinerary Changes
Solo Season acknowledges that adjusting plans in response to weather and environmental hazards is an inherent part of hiking and outdoor activities.
Solo Season has the right to adjust or alter the planned trip route at any time inline with their risk mitigation procedure to ensure guest safety.
Guests will be advised as early as possible of any expected changes due and if they do not wish to attend the trip they will be subject to the client cancellation policy.
In the very unlikely event of that we can not provide an alternative route the trip will be subject to the company cancellation policy.
10. Equipment and Personal Responsibility
Solo Season will provide guest and group equipment, including general first aid and emergency communication devices as specified in our trip inclusions.
Guests will take reasonable measures to care for their loaned gear and follow guide directions on the use of equipment to ensure no damage beyond reasonable wear and tear.
If equipment is used and damaged while being used outside of guide direction or stated use the cost of repair or replacement will be charged to the guest.
You are responsible for bringing all items on the packing provided in the pre-hike information (including personal medications).
11. Photography and Media
By participating, you consent to photographs and videos being taken during the hike, which may be used for promotional purposes by Solo Season.
If you do not wish to be photographed, please notify the guide before the hike.
12. Conduct
Respect for the environment, wildlife, and fellow participants is required at all times.
Solo Season promotes Leave No Trace principles and guests must follow guide directions to adhere to these principals. .
Aggressive, unsafe, or disrespectful behaviour may result in removal from the hike without refund.
13. Insurance
Solo Season holds appropriate public liability, professional indemnity and management liability insurance.
It is a condition of booking that you have comprehensive insurance cover for the duration of the hike. This must include illness, pre-existing medical conditions, injury, death, loss of baggage or personal items, medical evacuation and cancellation. The certificate of insurance must be provided 7 days prior to the commencement of the hike.l
14. Privacy & Confidentiality
Your privacy is respected and your personal information will only be used for operational purposes. This includes your booking details, medical form and signed liability waiver.
We will not sell or give your information to a third party unless required to by law.
15. Risk Acknowledgement and Limitation of Liability
Hiking involves inherent risks, including (but not limited to) slips, falls, weather events, wildlife encounters and medical emergencies.
To the extent permitted by law, Solo Season, its employees, agents, and contractors exclude all liability for death or personal injury (including the aggravation, acceleration, or recurrence of any such injury), disease (including its contraction, aggravation, or acceleration), or any other condition, circumstance, occurrence, activity, form of behaviour, course of conduct, or state of affairs in relation to an individual that is or may be harmful or disadvantageous to that individual or the community, arising from the supply of the recreational services provided by Solo Season.
This exclusion, restriction, or modification of liability applies only to liability for:
(a) death;
(b) physical or mental injury (including the aggravation, acceleration, or recurrence of such an injury);
(c) the contraction, aggravation, or acceleration of a disease; or
(d) the coming into existence, aggravation, acceleration, or recurrence of any other condition, circumstance, occurrence, activity, form of behaviour, course of conduct, or state of affairs that is or may be harmful or disadvantageous to an individual or the community.You will be required to sign a liability waiver to complete your booking
